1. Securing the booking

Until secured Shaun Brady DJ Services may withdraw any offer it has made. All bookings take effect immediately upon acceptance of the booking by BOTH the Client and Shaun Brady DJ Services (electronically or in writing.) Shaun Brady DJ Services will store the Contract for safe keeping (copies of which will be readily available on request). A 7 day cooling off period begins immediately upon signing of the contract. During this period you are entitled to a full refund, minus any costs we may have incurred in processing your agreement. After the 7 days your deposit will become non-refundable and if you decide to cancel you have also incur reasonable fees for any services we have provided already, if these are of a more value than the original deposit. Deposits cannot normally be made in cash. Our online gateways which include PayPal and Bank Transfer are the preferred method of payment. Bookings made with less than 7 days until the scheduled event will require full payment upfront unless paying cash on the night at the start of the event.

2. Payments

The remaining balance must be paid 7 days before the scheduled date via PayPal or Bank Transfer. Cash on the night or Card Payments may be accepted upon request, however this may not be available in some situations. For all 'on the night payments', performance or setup may not be completed unless payment is made before the event start time. Shaun Brady DJ Services reserve the right to request further upfront payments for events held during peak periods, usually 30 days before your event date. Non-payment on these requests may result in cancellation.

3. Additions

Additional extras (a product or service you have requested which is not part of a standard package) may be added after the booking process. Shaun Brady DJ Services does not offer refunds or reductions if you discover an additional extra (which has been included during booking) is no longer required.

3.1 Smoke machines:
Before booking any atmospheric effect (smoke machine) it is advised you ask your venue if they are happy for them to be used. ~It is likely your venue may be fitted with smoke detectors and the machines may set off an alarm in the venue.

3.2 Bubble and snow machines:
Before booking please ensure your venue permits the use of these machines. If being used on hard surfaces such as a dance floor, tiled floor or any uncarpeted space these machines may cause the floor to become slippery. It is advised that all guests are warned of the risk of a slip hazard before entering the area of which the bubble machine is active.

3.3 Lighting:
We cannot guarantee your lighting will reach some areas you may require due to lack of plug sockets, distance from plug socket or difficulty installing lights. Chosen colours often may appear different depending on background and light limitations.

3.4 Glow Sticks:
Not suitable for children under 3 years old. Whilst glow sticks are non-toxic they should only be bent to activate and contents should not be ingested. If incorrectly used the contents may cause staining to furniture or clothing.

3.5 Media:
These must be delivered to Shaun Brady DJ Services at least 2 weeks prior to the event and in a format specified by Shaun Brady DJ Services. Shaun Brady DJ Services cannot guarantee that content delivered past 2 weeks before the event will (a) be displayed, or (b) work correctly. Shaun Brady DJ Services reserve the right to include advertising media during presentations.

3.6 Extended Performance Times: Should you wish to extend the performance times before the night please contact Shaun Brady DJ Services, if you decide to extend performance on the night you may discuss it with your DJ (subject to an extra cost at the discretion of the DJ)

3.7 Late Fee: Performances where the time of return is between midnight and 2:00am, an additional fee of £28.40 is due. If the return time is after 2:00am, an overnight stay fee will be added to your quote to cover additional costs. This follows the National Gig Rates, as dictated by the Musicians Union.

4. Parking and Additional Charging

Please ensure a suitable parking space is available for your DJ for the length of time required. If there is no parking available next to the venue you must inform Shaun Brady DJ Services. If no parking is available and Shaun Brady DJ Services has not been made aware of any parking difficulties you will either be charged for the cost of parking and/or your start time may be delayed. Double yellow lines, time limited parking or residents only areas do not count as possible parking spaces, unless a permit is provided or the time limits allow parking from setup time to pack away time. If no other option is provided and no warning given you will be responsible for re-reimbursing the cost of any fines.

5. Cancellation

In the unlikely event of Shaun Brady DJ Services having to cancel due to injury , illness, or personal circumstances, a good effort will be made to find a suitable replacement. If this isn’t possible, any payments made will be returned including deposits. If either Shaun Brady DJ Services or client(s) has to cancel due to act of god where performance from Shaun Brady DJ Services becomes unfeasible the deposit will be retained. You may cancel this booking without penalty within 7 days of confirming the booking, as long as the event date is more than 7 days in the future. Otherwise the following fees will be due:

Cancellation up to 90 days before Event: 50% of Balance
Cancellation up to 61 days before Event: 75% of Balance
Cancellation 60 days before Event: 100% of Balance

5.2. All cancellation fees shall be paid to Shaun Brady DJ Services within 14 days of the Event Date.

5.3 Breakdown in Communication
If Shaun Brady DJ Services are unable to contact the client(s) before the proposed booking date, Shaun Brady DJ Services reserve the right to serve a notice period of seven days before officially cancelling the booking, and re-opening the date for new bookings. In these unlikely circumstances, reasonable efforts will be made to make contact using all services and platforms available to Shaun Brady DJ Services.  After the notice period, evidence of this breakdown in communication will be documented and emailed to client(s) informing them of the official cancellation of their booking. Terms in section 5 should still be followed if the cancellation is to be made within 14 days, and the deposit will be retained.

5.4 Alternative DJ: Shaun Brady DJ Services reserves the right to assign an alternative DJ to fulfil a booking if required. You will be notified in advance, and will be given the opportunity to liaise with your DJ ahead of their performance.

6. Refunds

Unless the performance and preparation you receive was misleading to what was advertised or agreed, in accordance with trading standards no part or full refunds will be made. This includes lack of attendance by guests, weather conditions and/or unreasonable expectations from the clients. If your DJ starts late due to parking, traffic, venue or issues which are not within their control, no partial refund will be made. Any complaints or issues during your event should be raised with your DJ during the performance and forwarded to Shaun Brady DJ Services afterwards. Any enquiries into refunds should be made after the event and it is up to the discretion of the DJ as to whether your issue is investigated further.

7. Set up requirements

Our setup requires at least one 240V plug socket, and room for at least one large table. Please allow more space and plug sockets for additional extras or larger set ups. Some setups can be made smaller. If this is required please inform Shaun Brady DJ Services. The average set up time is approximately 60 minutes but may be less with easy access and parking. Lack of information regarding set up and pack away times including obstacles such as stairs or long distances from DJs vehicle to set up area may result in a delayed start time, or the requirement of venue staff to stay longer whilst packing away. You must ensure we are made aware of any possible delays the DJ may experience (i.e. long distance from parking to set up area or venue not being accessible in good time). Your DJ will have the right to start at a later than the specified time with no penalty should inadequate set up time be given or no warning for possible delays. Shelter must be provided for outdoor events where equipment could be damaged by weather conditions. The area of which equipment is set up must be even and solid surface to prevent accidents. Please liaise with the DJ if this is problematic.

8. Certificates

You can request to see documentation such as Public Liability Insurance certificates or proof of PAT testing at any point. If not specified as required during booking Shaun Brady DJ Services may use a DJ which does not possess these documents, each individual DJ has their own certificate and claims cannot be made against Shaun Brady DJ Services unless Shaun Brady is your DJ.

9. Responsibilities of the client

During the period of DJ hire you are responsible for your guests and any damage or theft which is caused by guests attending your event. If any of your guests cause damage or steal equipment belonging to your DJ you may be asked to pay for the replacement or repair. You must provide a safe and secure area for your DJ to operate and should the equipment or the DJs safety be threatened. The DJ reserves the right to cease performance until the threat has been satisfactorily dealt with. All children under the age of 16 must be supervised at all times by at least one adult and behaviour should be dealt with by the client. The DJ will not be liable for the supervision of minors. Verbal abuse is not tolerated and guests who are unable to behave should be dealt with by the client. If the behaviour of guests becomes, in the opinion of the DJ, intolerable, the DJ is within rights to pack down and leave the event, requesting full payment.

10. Photography

Your DJ may take photographs or videos during your event, should any of your guests wish otherwise please advise as soon as possible. Any material captured may be used for advertising. Should any photographs be offensive or should any guests wish them to be removed please contact Shaun Brady DJ Services. Photographs of guests under 16 will not be distributed through social media, unless the client agrees that it is acceptable.

11. Advertisements / Testemonials

You have the right to request your DJ does not place advertisements in the way of a banner or posters placed away from the equipment set up. Some equipment may contain logos or contact information. Business cards may be left around your venue, please inform the DJ if you would prefer their absence. A testimonial will be requested after the proposed date, however you will not be obliged to give one.

12. Your Details

Shaun Brady DJ Services may use the information to check current address, telephone and email address are valid along with any other relevant information provided during booking or pre-event discussions.

13. Miscellaneous

Shaun Brady DJ services will respond to the venue managements reasonable requests such as volume, sitting of equipment and or any other reasonable request(s).The client shall be responsible for ensuring compliance with all statutory provisions and local authority regulations applying to the engagement, for all insurance against public liability or any other contingency, and for all necessary Performing Rights Society and Public Performance Licences. Shaun Brady DJ Services and any assistants will conduct themselves in a professional manner throughout. Shaun Brady DJ Services are not responsible for enforcing house rules and regulations set by the venue. Such requests may be announced, but the DJ takes no responsibility for accidents or injury due to this.


Performer Contract

The following expressions shall have the following meanings:
1.1  “Agent” means [Ultimate Productions LTD];
1.2 “Artist” means a person who Accepts the Agent’s Offer of Engagement;
1.3 “Client” means any third party, individual, partnership, company or other organisation or entity which negotiates with the Agent with a view to procuring the services of the Artist in respect of an Engagement;
1.4 “Engagement” means the employment or use of the Artist by the Client, or any third party to whom the Client has introduced the Artist, in a short-term basis under any form of contract or relevant agreement;
1.5 “Terms and Conditions” means the terms and conditions as set out in this document and any subsequent terms and conditions agreed in writing by the Agent;
1.6 “Performance Fee” means the sums due to the Artist from the Agent in respect of an Engagement;
1.7 “Booking Confirmation” means the contract between the Agent and the Artist for agency services incorporating these Terms and Conditions.

2.1 These Terms and Conditions supersede any other documentation or communication between parties.
2.2 Any variation to these Terms and Conditions must be agreed in writing by the Agent.
2.3 These Terms and Conditions shall be supplied with any Booking Confirmation and
2.3.1 signed and returned to the Agent by the Artist or
2.3.2 read and agreed online by the Artist

3.1 This Booking Confirmation must be accepted by the Artist in its entirety.

4.1 The artist must supply an invoice for this event.
4.2 Payment of the Performance Fee shall be made directly by the Agent to the Artist by BACS or PayPal when payment has been received from the Client, usually within 30 days
4.3 The Artist is responsible for the payment of any tax, National Insurance, VAT and other payments required by them under law.

5.1 The Artist shall, at all times, act in a professional and courteous manner and shall attend all Engagements on time.
5.2 The Artist shall carry out every Engagement to the best standard of ability and skill.
5.3 The Artist shall maintain public liability insurance to a minimum level of Five Million Pounds and shall provide the Agent with proof of such cover.
5.4 The Artist shall comply with all rules and regulations relating to health and safety, fire prevention or general administration which may be in place at the venue of the engagement.
5.5 The Artist shall not pass on any personal business cards or other promotional material to the Client, members of the audience or other third parties.
5.6 The Artist shall ensure that any equipment in their ownership which is used during the Engagement meets basic safety standards and is in good working order.

6.1 The Artist may not under any conditions cancel the Engagement unless due to Force Majeure or illness. In such cases, on provision of reasonable proof, the Artist will not be held in breach of contract by the Agent.
6.2 The Artist agrees to inform the Agent immediately of any intended cancellation.
6.3 In the event that the Client cancels a booking the agent will seek cancellation charges for the Artist.
6.4 If the venue provided by the Client is unable to accommodate the Artist and the Artist is unable to perform for this reason the Agent will seek cancellation charges from the Client for the Artist.

These Terms and Conditions supersede any previous agreements, arrangements, documents or other undertakings either written or oral and shall be governed by and construed in accordance with the law of England and the parties hereby submit to the exclusive jurisdiction of the English courts.

What's the best way to check availability?

That's simple: just get in touch! I refuse to take any money, or process a booking before I've had the opportunity to introduce myself and my services personally, whether that be via phone, email or even an in-person meeting. I also run our sister company, The Groove which allows you to book other DJ's and entertainers through our system.

Do you take a deposit?

Yes. For normal package bookings, a simple £50 deposit is taken, as well as a signature on our contract to let us know that you're committed to the booking as much as we are! For more complex high value bookings, a 25% deposit may be requested to secure my attendance. You will be made aware of this from the outset, and the online payment methods are really simple to use.

How far do you travel?

I'm happy to travel where ever my work takes me. Unless included in your package, a standard fuel charge is added to any booking at 55p per mile, as well as £10.80 per hour (pro-rata) for journeys longer than 1 hour.

Are you insured?

Yes! I carry all of the relevant documentation that your venue may request. This includes PAT Test Certificates, Public Liability Insurance up to the value of £2 Million, as well as Personal Professional Indemnity Insurance.

How would you define your 'style' or approach to DJ'ing?

Firstly, we're really laid back, and you'll get to learn that about me - hopefully it'll put your mind at ease. It's all about you, and I'm happy to adapt my style to suit your day and your personality. I'm not overly talkative on the microphone, and it's all about the music - nobody really cares who sang the last song or what year it came out!

Can I add things to my package at a later date?

Of course. Your initial deposit will remain valid, and secures your whole booking with me. If you choose to add any additional add-ons, I'll simply send out a new contract for you to sign with the amended information.
